A Month-by-Month Guide for Commerical Snow Vendors

07.25.2025

Most of you probably already have a system in place, but if not, here’s a simple monthly guide to help. It might only snow a few months a year, but staying ready takes consistent effort all year long. Getting ahead, staying organized, and being prepared at every stage helps you stand out as a reliable partner and makes sure you’re ready when the first flakes fall.

March - April: Finish the Season Strong

As the snow starts to melt, now is the time to wrap things up the right way. Remove all equipment from sites, repair any damage caused during the season, and start documenting what worked and what didn’t. Take time to review site feedback, crew performance, and communication. Even small lessons now can lead to big improvements next year. Don’t skip this step. It’s the foundation for a smoother season ahead.

May - June: Get Ahead on Equipment and Supplies

This is one of the best windows to lock in equipment and materials before prices rise or inventories shrink. Review what you’ll need for next season and start placing orders early. It’s also a good time to take care of preventive maintenance on plows, salters, and other gear. A little effort now helps avoid headaches later, especially when winter arrives quickly.

July - August: Build Trust and Win Work

This is when the proposal process really picks up. Be ready to participate in walkthroughs, support scope reviews, and have conversations that show you’re paying attention to the details. Walkthroughs are your chance to ask questions, flag potential issues, and understand expectations for each site. This stage is about more than just pricing. It’s your opportunity to build trust and prove that you’re the right fit for the work.

September - October: Final Prep Mode

Once contracts are awarded, shift into full preparation. Get your team trained, review each site's requirements, and make sure everyone is clear on the plan. Double-check that all equipment is ready to go, materials are stocked, and backup crews are lined up. If anything is still up in the air, now is the time to lock it down. Once the snow starts, there is no time to scramble.

November - February: Show Up and Deliver

This is what all the planning is for. Stay alert, follow site-specific plans, and keep communication clear. Be proactive when storms are in the forecast and flexible when things shift. Document your work, respond quickly to any issues, and maintain high standards. Vendors who consistently perform and communicate well during the toughest months are the ones we trust again and again.

Winter may be short, but success in snow and ice removal takes year-round commitment. When you stay prepared, stay organized, and stay in touch, you set yourself apart. We value partners who take this work seriously and show up with the right mindset every season.
